Position Description
The Executive Assistant will provide high-level confidential support to the Products Pipelines President and Leadership Team, as well as administrative support to the department in a prompt and efficient manner while maintaining a high level of accuracy.
Description of duties includes:
Provide various office services to assigned management and staffPerform a wide range of administrative and general support duties of a highly responsible and confidential natureAssist the department in the coordination and preparation of presentation material, primarily prepared in PowerPointPrepare and maintain tracking, reporting and other spreadsheets using ExcelSchedule appointments and arrange meetingsReview and coordinate schedules, expense reports, travel requests, vacation schedules, and maintain electronic time entry for departmentMaintain and coordinate the personal and planning calendarsCoordinate hotel and conference room reservations for various meetings and/or trainingCompose routine and non-routine correspondenceEffectively handle phone calls, visitors and mail distributionWork accurately and productively with competing priorities and tight time constraintsPerform other duties as assignedJob level will commensurate with experience Position Requirements
Minimum Requirements:
A minimum of 5 years of administrative experience supporting more than one ExecutiveThis key position must manage confidential and sensitive information appropriately with great attention to detail.A high school diploma or equivalent is requiredProgressive administrative experience in a fast-paced and detail-oriented office environmentMust be able to timely complete work in a prioritized and organized fashionA self- starter with the ability to work with minimal supervision and organize, keep up to date, and effectively manage projects assigned or maintain up to date records that are on-goingOvertime may be required with little or no noticeMust be able to work with a team, take direction from staff, lead personnel, follow work rules, and adhere to established work schedules including vacation coordinationMust be flexible and adaptable to changeAdministrative excellence including strong attention to detail coupled with the ability to identify and resolve issues/problems of varying complexityMust have strong verbal and written communication skills to communicate with various audiences both internally and outside the organization; Discretion is critical.Fully proficient in using Microsoft applications (Outlook, Word, Excel, PowerPoint); Word skills must be at an intermediate to advanced levelRequires a high level of tact and integrity due to the frequency of senior-level internal and external contactsRegular and predictable attendance is a requirement for thisPreferred Experience, Skills and Knowledge:Above the minimum requirements; not required but advantageous in this position:
College degree A broad knowledge of corporate operations and policy, and high level of experience, discretion and technical skills
