Aplin has partnered with a Multinational company in Kingsville, ON seeking an Executive Assistant. This will be a permanent opportunity!

Requirements:Calendar Management: Coordinate and manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements. Prioritize meetings based on urgency and importance to help maintain their relationship with stakeholders, including external clients.Communication Management: Handles incoming and outgoing communications, including emails, phone calls, and written correspondence. Draft, review, and edit documents and reports as needed.Meeting Coordination: Organize and prepare meetings, including agendas, minutes, and follow-up on action items. Ensure all necessary materials and resources are available.Travel Arrangements: Arrange complex travel itineraries, including flights, accommodations, and transportation for domestic and international travel. Prepare detailed travel schedules.Administrative Support: Provide general administrative support, including filing, data entry, and maintaining office supplies. Handle sensitive information with discretion.Project Management: Assist with special projects and initiatives as assigned by the executive. Coordinate with other departments and external partners to ensure project goals are met.Event Planning: Organize and manage events, including executive retreats, corporate events, and client meetings. Handle logistics, invitations, and follow-up tasks. Manage vendors, budgets, logistics, and on-site coordination for both small and large events.Relationship Management: Build and maintain strong relationships with internal and external stakeholders. Act as a liaison between the executive and other team members or clients. Exhibit a high degree of professionalism, collaboration, and dependability, with a proactive “can do” attitude.Document Preparation: Create, prepare, and organize presentations for internal and external engagements. Prepare daily status updates and other crucial reports for leadership.Process Management: Maintain and refine internal processes that support high-ranking executives companywide and coordinate internal and external resources to expedite workflows.
Qualifications:Degree or Diploma in Administration or BusinessMust have over 5 years of Executive Assistant experience working for a large corporation and reporting to C-Suite level.Must be proficient in MS Office including Excel, PowerPoint, and Outlook.Will be required to travel to the US once every quarter.
