EXECUTIVE ASSISTANT 

The incumbent plays a crucial role in leading the general manager's schedules and communications. This position involves overseeing schedules, planning workloads in advance, organizing events, and handling travel arrangements. The Executive Assistant performs general clerical duties and provides comprehensive administrative support to the General Manager. The scope of activities ranges from complex administrative operations to routine tasks such as document processing, record keeping, and reporting and analysis.

 

As the Executive Assistant, you will: 

Provide comprehensive administrative support by writing and editing emails, drafting memos, and preparing communications for the General Manager and Directors. Organize and coordinate meetings, including scheduling, sending reminders, and arranging catering when necessary. Handle the executive’s calendar, ensuring all appointments are scheduled and prioritizing the most sensitive matters. Collaborate with the Administration team to facilitate regional senior leaders' visits to the country. Review incoming documents (memos, invoices) and redistribute them appropriately. Handle and process documents requiring input from the General Manager. Oversee all visa-related matters for the General Manager together with the Administration Team, ensuring visas are always valid and necessary documents are provided to the respective authorities. Act as a liaison between the General Manager and internal/external stakeholders, handling communications and prioritizing needs.

 

Requirements:

Experience in an administrative or executive assistant role, preferably supporting senior leadership. Exceptional organizational, time management, and prioritization skills, with the ability to run multiple competing deadlines. Strong problem-solving skills, with the ability to anticipate issues and offer solutions proactively. A team player with excellent interpersonal and communication skills, able to build strong relationships across all levels of the organization. Self-motivated and proactive, with the ability to work independently and take initiative. Experience with diary management, event planning, and meeting logistics. Ability to handle sensitive information with discretion and professionalism. Previous experience in a corporate or operations environment is highly desirable. Fluent in the English language. Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint).
