What You’ll do on a Typical Day

Manage key logistic aspects of the VP’s offices, including calendar management, domestic and international travel plans, timely and thorough expense management, and miscellaneous activities in support of the APAC VP’s teamManage all level of administrative duties and anticipate the needs of the APAC VPExtensive diary management:Set up meetings for the VP APACCoordinate meeting logistics – scheduling sessions, booking rooms, inviting attendees (internal and external) and booking virtual-technology tools, attend the meetings and coordinate the logistics etcPrepare, review, and submit expense claims in accordance with company policyTravel management – book flights, hotels, and transfer management – in accordance with company policyManage professional scheduling for the VP APAC, including agendas, mail, email, calls, travel arrangements, support client management, sales team, and other direct reports requirements, and other company logisticsCoordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executivesPrepare and edit presentations and other materials. Create non strategic documents as requestedWork closely with stakeholders to arrange team meetings and business reviewsLiaise with other areas of the business for any regular company operational meetings where VP input is requiredLiaise frequently with Executive Leadership Team and global VPs and their EAs as requiredRead and analyse inbound requests, communications, agendas, and memos and determine significance - route to appropriate team or leader in a timely and efficient mannerFacilitate new vendor set up process when requiredProcess purchase orders and invoices as requiredManage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordinationMaintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the businessOrganize team communications and plan events, both internally and offsite, AU engagement activities, customer events, marketing events as requested.Be present in the office as requested by the VP based on their calendar requirements

What We’re looking for

5+ years’ experience as an executive assistantStrong time-management/organisational skills and the ability to balance competing prioritiesOutstanding interpersonal and communication skills (both written and verbal)Exceptional Word, Excel, and PowerPoint skillsProven collaboration skills with the ability to establish and maintain strong working relationships with key stakeholdersHigh energy, detail oriented, pro-active, and able to work well under pressureDemonstrated ability to multitask efficiently, solve problems and manage tight deadlinesHandle changing priorities with minimal supervision in a dynamic and fast-paced environmentHighly organized with good follow-up skillsAbility to remain composed under pressure and be able to priorities based on business impactFlexible to support APAC/global timingsTact, discretion, and impartiality where circumstances requireA high level of personal integrity and reliabilityA positive attitude with a focus on continual improvementIndependent and self-drivenHigh degree of emotional intelligenceSuperior attention to detail
