MUST HAVES:
-Executive Assistant experience from another corporation (pharma/manufacturing preferred-not required)
-Experience managing calendars, expenses, and helping plan events/book travel
-MS Office experience (Outlook, Word, Excel, PowerPoint)
Hybrid position - 3 days on-site (Mon/Fri WFH).
Key Responsibilities:
•\tProvide comprehensive administrative support to a senior leadership team of four executives.
•\tManage and prioritize schedules, including calendar management, meeting coordination, and travel arrangements.
•\tHandle expense reporting, ensuring accuracy and timeliness.
•\tOrganize and oversee engagement events, fostering a collaborative and professional environment.
•\tServe as a point of contact for internal and external stakeholders, ensuring clear and effective communication.
•\tAnticipate the needs of executives and proactively address administrative tasks to streamline operations.
Administrative Support:
o\tAssist the HR Team with daily operations, ensuring smooth execution of tasks and priorities.
o\tManage scheduling, coordinate calls, and support engagement initiatives.
o\tProvide administrative assistance to ensure Talent Acquisition processes run seamlessly.
Talent Acquisition Assistance:
o\tManage and update calendars for HR and TA professionals, ensuring timely coordination of candidate interviews.
o\tOrganize Zoom calls with hiring managers and track progress for Service Level Agreements (SLAs).
o\tEnsure candidates receive an exceptional experience during the recruitment process.
Event Coordination & Communication:
o\tAssist with uploading content to the company website and internal platforms.
o\tPlan and coordinate events, including ordering food and supplies.
o\tSupport in managing communications and ad hoc projects to ensure team efficiency.
Qualifications
Experience:
o\tProven experience in administrative roles, preferably supporting HR or TA teams.
o\tFamiliarity with scheduling, event planning, and candidate coordination is a plus.
Skills:
o\tStrong organizational and multitasking abilities.
o\tProficiency in scheduling tools, video conferencing platforms, and general office software.
o\tExcellent communication skills and attention to detail.
Attributes:
o\tPositive, proactive, and adaptable mindset.
o\tComfortable committing to a 2-year contract.
o\tTeam-oriented with the ability to work independently when required.
Additional Information
•\tThis is a long-term, hourly contract role.
•\tThe role involves approximately 50% support for Talent Acquisition tasks and 50% general HR administrative assistance.
•\tOccasional on-site support for events and other HR functions may be required.

Pay and Benefits
The pay range for this position is $20.00 - $25.00
