Executive Assistant

Summary

Provide high-level administrative support to entire executive team by conducting research, preparing statistical and other business reports, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

Essential Duties and Responsibilities include the following:

Prepares, reviews and formats policies and procedures, reports, memos, letters, financial statements and other documents using word processing,  spreadsheet, database or presentation software Answers electronic communications and phone calls, directs calls to appropriate parties or take messages Responsible for screening and prioritizing mail and phone calls Greets and screens visitors in person and on the phone to ascertain nature of their business Conducts research, collects and analyzes data to prepare reports, compiles data and prepares documents for  presentations Maintains and updates meeting calendars Attends meetings and records minutes Performs general office duties such as ordering supplies, maintaining record management database systems and performing basic bookkeeping work Organizes and maintains office files Assists Casino Executives in travel arrangements Ensures that information is properly circulated amongst Casino Executives. Duties or responsibilities can be changed, expanded, reduced or deleted by management to meet the needs of the department Maintains confidentiality with unquestionable integrity Perform other duties as assigned

 

Qualifications

Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint ) Ability to prioritize multiple tasks, work effectively under stress, meet short deadlines and take directions Knowledge of office procedures and the use of various office machines Excellent knowledge of the English grammar and composition Ability to perform assigned duties with minimum supervision Ability to identify problems and implement or recommend solutions, interpret and apply policies and procedures, deal diplomatically with the public, take responsibility and use good judgement with scope of authority Ability to key 50 words per minute at minimum Ability to learn and use new software programs as systems are updated Previous experience within a tribal gaming entity preferred

 

Education and/or Experience

A minimum of five years of experience working as an Executive Administrative Assistant required Associate degree in Business, English, or related field preferred   Supervisory Responsibilities

This job does not have supervisory responsibilities.

 

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 

Mathematical Skills

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry.  Ability to apply concepts such as probabilities, econometrics, fractions, percentages, ratios, and proportions to practical situations.

 

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situation where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

Certificates, Licenses and Registration

Appropriate gaming license issued by Paskenta Tribal Gaming Commission.
