The Opportunity
Are you a self-driven and passionate individual? AgeCare is looking for a dynamic person to join our team as an Executive Assistant. The Executive Assistant provides executive administrative support to the CEO and Vice Presidents of Operations for Alberta and British Columbia. The Executive Assistant performs, coordinates, and oversees office administrative duties while providing an extensive level of support to leadership. This role requires a highly organized, detail-oriented, and proactive individual who can manage multiple tasks and priorities with ease.
What You Will Do
Manages schedules and calendars, including arranging meetings, conference calls and booking appointments.
Acts as a representative of the Executive by demonstrating sound judgment with both internal and external clients.
Monitors and appropriately responds to emails, voicemails, and other correspondence in a timely manner.
Ensures effective communication within the Executive as well as to the organization.
Communication with key clients including follow up before and after meetings with agendas or follow up actions.
Organizes incoming information and tracks and monitors emerging priorities and events.
Monitors and schedules approvals and project deadlines.
Types, formats, and creates documents including minutes, meeting notes and follow up proposals.
Creates and maintains filing systems, reconciles and submits monthly expenses.
Schedules, coordinates meetings, both internally and externally, including the meeting logistics, hotel requirements, preparation of meeting materials, minutes, and relevant notes.
Organizes all details for executive travel & client visits, flights and accommodation.
Develops, prepares correspondence, reports, charts, graphs, PowerPoint presentations.
Assists with onboarding and training of new staff, enters absences and vacation for corporate staff in UKG.
Assists with reception coverage as required.
What You Bring
Post-Secondary education in Business Administration, or relevant discipline.
Must be fluent in English, both orally and in writing.
Minimum five years’ experience as an Executive Assistant working in a fast paced and high energy environment.
Demonstrated proficiency in Microsoft Outlook, Word, PowerPoint and Excel; SharePoint experience is an asset.
Must possess an attitude of professionalism, maturity, and sound judgment to successfully manage the challenges of this position.
Demonstrated ability to maintain confidentiality and handle issues of a sensitive nature with tact and discretion.
Excellent interpersonal skills and demonstrated ability to collaborate effectively with a broad range of individuals and groups.
Strong record of achievement; an entrepreneurial, hands-on approach.
High level of organizational skills; excellent attention to detail.
