Executive Assistant

Summary

The Executive Assistant provides excellent administrative support and requires clear and timely communication with executives as well as the team members they work with. This role also manages small projects for our General Counsel and CFO and their teams. This is an onsite role, located in our San Francisco office up to four days a week, with the option of Friday’s being remote. 

In this role you will work closely with senior leaders to take proactive support of their calendars, meetings, and projects, as well as work directly with key stakeholders. You will apply your exceptional communication, time management, organizational skills, and professionalism on a daily basis. You will act with a high level of integrity and discretion while handling confidential information.

Responsibilities 

Basic administrative work such as calendaring, copying, filing, credit card reconciliation, expense reports, file storage, org charts, running errands, and assisting with correspondence.Assistance with projects such as filling out documents for audits, mailing tax returns, and other finance or legal department project needs.Logistics and catering for meetings.Meeting minutes as needed.Making travel arrangements, coordinating trip itineraries and event planning.Receive and respond to requests for CFO and General Counsel’s time and input.Information gathering and record upkeep for projects.Providing back up support to the general office staff and reception as necessary.

Qualifications

CA Licensed NotaryStrong communication skills, both verbal and written, and organizational skillsStrong computer skills and flexibility in working with several Windows-based programs (Word, Excel, PowerPoint, and SharePoint), including knowledge of the internet and Microsoft OutlookAbility to work in a teamAttention to detail and follow-throughExcellent dependability and ability to maintain confidentialityValid CA driver’s licenseKnowledge of Adobe programs preferredMoving of equipment up to 50lbsStanding, walking and sitting during 8hr shift to access equipment, meetings, and tools
