Executive Assistant

The Opportunity 

This position provides administrative support to the Teachers' Venture Growth (TVG) department and specifically to the Senior Managing Director, Teachers’ Venture Growth. Responsibilities include managing calendars; coordinating meetings; support with event planning and management; making travel arrangements; coordinating expenses and planning team activities and events. 

Who You’ll Work With 

Reporting to the Senior Managing Director, Teachers' Venture Growth, you will be providing a wide range of support to the TVG team in our San Francisco office. 

What You’ll Do 

Provide calendar support for the Senior Managing Director, and a Managing Director, as well as support overall office administration, arranging appointments, meetings, booking conference rooms, travel, conference calls, expenses, etc. 

Assist with onboarding/new hire process, and coordinating organizational details 

Prioritize and coordinate meetings and team events 

Manage travel itineraries for the team where required 

Process and record local invoices for the department 

Prepare monthly expense reports 

Plan and coordinate team meetings and support investment team where required with sector specific event planning 

Review and prioritize incoming correspondence for the Managing Director and Senior Managing Director 

Greet office visitors and answer general inquiries 

Support corporate events and serve as a local Corporate Events Specialist when needed 

Arrange catering for team meetings 

Manage Senior Managing Director and Managing Director calendars, using knowledge of departmental timelines and priorities to effectively manage demands for time 

Provide various administrative support duties internally, interacting with management within and outside of Ontario Teachers’, comfortably communicates with partners, vendors and visitors while handling confidential and critical details 

Identify and bring forth items requiring immediate action 

Maintain an advance degree of confidentiality along with excellent judgment and discretion 

Applies judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task with limited direction 

​What you’ll need 

Professional certificate, College diploma or University degree 

Excellent communication, organizational, and analytical skills, specifically related to time management, budgets and events 

Demonstrates ability to be proactive, take initiative, exercise good judgment, discretion and confidentiality in all tasks 

Comfortable multi-tasking and able to deliver results under tight deadlines with an occasionally non-traditional work schedule 

Maintains confidentiality and acts with discretion with a high degree of maturity/professionalism with senior leadership 

Builds relationships with assistant community as well as with internal/external leaders and other team members 

Proficient using MS Office Suite 

Adobe Creative Suite and Canva Studio experience is beneficial 

Familiar with various digital tools and willingness to experiment with emerging  technology 

>5 years of experience working in a dynamic, high-volume corporation or agency with demonstrated experience supporting executives and event planning, preference for experience in the venture capital or private equity industries 

Ability to work in-person at the TVG Jackson Square offices in San Francisco, CA a minimum of 3 days per week (Mon-Wed or Tues -Thur) 

The base salary range for this position ranges from USD 80,000 to USD 105,000.

This range represents the low and high end of Ontario Teachers’ salary range for this position and may be modified from time to time. Not all candidates will be eligible for the upper end of the salary range. The exact placement within the range will be determined by an assessment of the incumbent’s knowledge, skills and experience relative to the requirements of the role and to internal peers. In addition to base pay, this role is eligible to participate in Teachers' annual incentive plan.
