Description
As our client continues to grow, we are seeking a highly organized and proactive Executive Assistant to support their leadership team. We are looking for a detail-oriented and resourceful Executive Assistant to provide high-level administrative support to our executive team. This role is critical in ensuring smooth day-to-day operations, managing schedules, coordinating communications, and assisting with key business initiatives. The ideal candidate is a self-starter with experience in the construction industry, exceptional organizational skills, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities
+ Manage and maintain executive schedules, appointments, and travel arrangements.
+ Handle confidential information with discretion and professionalism.
+ Prepare reports, presentations, and correspondence on behalf of executives.
+ Coordinate meetings, including agenda preparation, note-taking, and follow-up actions.
+ Assist with bid proposals, contract documentation, and project tracking.
+ Act as a liaison between executives, clients, vendors, and internal teams.
+ Oversee office management tasks, including ordering supplies and coordinating facility needs.
+ Support HR functions, such as onboarding new employees and maintaining personnel records.
+ Conduct research and compile data for executive decision-making.
+ Assist with event planning, company meetings, and special projects.
Requirements
+ 3+ years of experience as an Executive Assistant, preferably in the construction, engineering, or real estate development industry.
+ Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Familiarity with construction software such as Procore, Bluebeam, or similar is a plus.
+ Excellent written and verbal communication skills.
+ Strong attention to detail and ability to multitask effectively.
+ High level of discretion, professionalism, and problem-solving skills.
+ Ability to work independently and manage multiple priorities in a fast-paced environment.
+ Experience handling contracts, invoices, and project documentation preferred
