Executive Assistant
Description We are offering a contract for an Executive Assistant position in the public sector, based in Largo, Maryland. The role involves providing comprehensive support to the CEO, including communication management, travel coordination and meeting arrangements. Responsibilities: • Act as the main point of contact for all communication on behalf of the CEO, which may involve phone calls, emails, and other correspondence. • Assist with the CEO's calendar management, ensuring their schedule is updated and organized. • Coordinate travel arrangements and meetings, ensuring all logistics are handled and schedules are adhered to. • Utilize tools such as Concur and CRM to manage tasks and information. • Attend board meetings, ensuring all important points are noted and distributed in the form of meeting minutes. • Coordinate conference calls as needed, ensuring all participants are adequately prepared and informed. • Oversee the front desk reception, ensuring smooth operations and efficient service. • Work closely with the board of trust, ensuring all communication and information are handled with discretion and professionalism. Requirements • A minimum of 3 years of experience as an Executive Assistant or similar role within the Public Sector is required • Proficiency in using Concur for expense management • Experience in CRM software to maintain and enhance customer relationships • Highly skilled in calendar management to coordinate schedules, appointments and meetings • Exceptional communication skills to interact with different stakeholders • Ability to manage conference calls efficiently, including scheduling and participation • Proficiency in drafting, editing and distributing detail oriented correspondence • Capable of distributing meeting minutes accurately and promptly • Experience in coordinating both internal and external meetings • Ability to coordinate travel arrangements, including booking flights, permanent transportation, and hotel reservations.
