Executive Assistant
Description We are offering a long-term contract employment opportunity for an Executive Assistant in ANNAPOLIS, Maryland. The role involves working in a setting where you will interact and work with executive leadership, manage multiple responsibilities, and maintain absolute confidentiality. Responsibilities include: • Interacting with executive leadership and managing their calendars efficiently. • Handling and resolving inquiries through several email inboxes. • Preparing meeting agendas, materials, and minutes while ensuring proper storage of meeting documentation post-meeting. • Managing hybrid meetings by scheduling conference rooms and online dial-in information. • Tracking and managing inventory for office supplies, processing orders, and payments. • Handling incoming physical mail and email, distributing appropriately, and replying as needed. • Assisting with the preparation of meeting materials and ensuring the proper use of audio-visual equipment. • Using software tools such as Microsoft Word, Excel, PowerPoint, Teams, SharePoint, and Outlook proficiently. • Managing the maintenance requirements of state vehicles. • Digitizing files and maintaining a detail-oriented level of written and oral communication. • Processing invoices, submitting maintenance requests as needed, and maintaining a detail-oriented level of written and oral communication. Requirements • Proficient in Concur software for managing expenses and invoices • Experience with Customer Relationship Management (CRM) systems • Expertise in Calendar Management for scheduling meetings and appointments • Excellent Communication skills, both written and verbal • Ability to manage Conference Calls, including scheduling and facilitation • Experienced in handling detail-oriented Correspondence • Skilled in preparing and managing Expense Reports • Familiarity with coordinating Meetings and Events • Ability to prepare Event Materials • Proficient in Drafting Documents such as memos and reports • Able to Maintain and Order Office Supplies as needed • Knowledge of Basic Office Equipment and its operation • Experience in providing Administrative Assistance in a detail-oriented setting TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
