Executive Assistant
Description We are seeking a highly organized and proactive Executive Assistant to provide critical support to multiple members of our executive team while also contributing to financial reporting. This dynamic role combines traditional executive assistance responsibilities with opportunities to engage in financial operations. The ideal candidate will demonstrate professionalism, strong attention to detail, and excellent communication skills while maintaining a high level of confidentiality. This is a 100% in-office position, located in Spokane, WA, Monday through Friday, from 8 AM to 5 PM, with occasional after-hours support as needed. Key Responsibilities: Executive Support: + Coordinate and manage the calendars, meetings, appointments, and travel arrangements for Senior Executives to ensure optimal time management. + Serve as the primary liaison between Senior Executives, internal teams, and external stakeholders, handling communications with professionalism and discretion. + Prepare a variety of materials, including correspondence, presentations, and reports, while maintaining strict confidentiality of sensitive information. + Organize high-level meetings by preparing agendas, taking minutes, and ensuring follow-up on actionable items. + Provide support to special projects, initiatives, and the Chair of the Board as needed. Financial Reporting: + Assist with the preparation and review of monthly, quarterly, and yearly financial reports. + Collaborate with the finance team to compile data for financial statements, budgets, and forecasts. + Summarize financial reports to provide insights for the Senior Executives. + Support Senior Executives in developing financial communications, materials, and presentations. + Maintain accurate and well-organized financial records while ensuring compliance with company standards. General Administration: + Maintain and organize executive and financial documentation, ensuring accessibility and accuracy. + Handle administrative tasks, including preparing reports, processing purchase orders, and tracking budgets. + Provide flexible support for corporate operations and complete additional duties as assigned by senior leadership. SALARY RANGE: $70,000 - $100,000 BENEFITS OFFERED: Healthcare Benefits: Medical, Dental, Vision Retirement Plan: 401k PTO: 2 weeks Requirements Key Competencies & Attributes: + Experience supporting senior executives in an Executive Assistant capacity, with strong organizational and multitasking skills under tight deadlines. + Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with financial management tools (e.g., JDE), accompanied by a solid understanding of financial principles and reporting. + Professionalism, confidentiality, and attention to detail, coupled with strong written, verbal, and presentation skills. + Skilled in creating polished presentations and navigating virtual meeting platforms (e.g., MS Teams, Zoom), with a proactive and collaborative mindset. + Ability to work independently while building and maintaining positive relationships with internal and external stakeholders. Requirements: + A bachelor’s degree in finance, accounting, business management, or a combination of equivalent education and relevant professional experience is strongly preferred. + Strong written and verbal communication skills, with the ability to collaborate and engage effectively across diverse stakeholders in a fast-paced environment. + Proven ability to manage deadlines and prioritize work efficiently, demonstrating strong organizational skills and attention to detail. + Skilled in creating compelling PowerPoint presentations and using tools for virtual conferencing. + Proficient in automated systems and Google Suite tools, with a background in financial and data management preferred.
