Description
As an Executive Assistant, you will be required to ensure the smooth and efficient operation of our organization by performing a variety of high-level administrative tasks. Your duties and responsibilities include but are not limited to the following:
Responsibilities and Key Tasks
• Completing the assigned Employee Onboarding Plan within the given timeframe.
• Using independent judgment to evaluate issues and determine the appropriate course of action, referral, or response with discretion.
• Implementing the current strategy and Firearms Policy Ethic in decision making.
• Administering budgets, managing expense reporting, invoicing, materials/purchasing related to assigned functions/initiatives.
• Providing varied, complex, and confidential liaison, communication, and administrative assistance.
• Managing confidential information with utmost discretion.
• Collaborating with colleagues and contractors to improve processes and systems.
• Organizing and maintaining files, databases, and archives.
• Coordinating and scheduling meetings, travel, and other group activities.
• Responding or routing inquiries from external or internal sources with appropriate correspondence.
Project Management
• Preparing detailed reports, charts, budgets, and other materials.
• Regularly reviewing project progress with managers to identify potential obstacles to timely success.
• Assisting in setting realistic goals, timelines, and milestones for functions/initiatives.
• Monitoring progress closely and following up with managers to ensure deadlines are met.
Communication and Coordination
• Developing and maintaining comprehensive understanding of all assigned functions and initiating effective communication with all stakeholders.
• Establishing strong relationships with all relevant parties and ensuring clear, coordinated communication.
Metrics and Reporting
• Monitoring, analyzing, and reporting on key performance indicators (KPIs) and progress against established plans and timelines.
• Preparing and circulating daily pulses (progress, issues) and weekly, monthly, annual, and ad hoc/as requested reports for visibility of function/initiative goals.
Requirements
The ideal candidate will also be proactive in identifying potential risks to project success and proposing suitable mitigation strategies. They will be expected to track action items through to completion for alignment with goals and strategies. High ethical standards and respect for confidentiality are essential for this role.
