Executive Assistant
Description We are seeking a detail-oriented and proactive Executive Assistant with experience in the healthcare sector to provide high-level administrative support to senior executives. The ideal candidate will excel at managing complex schedules, facilitating communication, and ensuring organizational efficiency, while maintaining confidentiality and professionalism. This role is instrumental in supporting the organization’s mission to deliver excellence in healthcare services. Key Responsibilities: + Manage executive calendars, appointments, and travel arrangements. + Prepare and review correspondence, reports, and presentations, ensuring accuracy and timely delivery. + Coordinate meetings, including agendas, minutes, and follow-ups. + Serve as a primary point of contact for internal and external stakeholders. + Facilitate strong communication between executive leadership, departments, and external partners. + Prepare responses to routine inquiries and handle confidential information appropriately. + Track project deadlines and objectives, providing regular updates to executives. + Collaborate with team members and healthcare professionals on special assignments. + Oversee office operations, ensuring compliance with healthcare policies and procedures. + Process expense reports, invoices, and other financial documents as required. + Maintain records and databases, including patient or professional records, in compliance with HIPAA and healthcare regulations. + Use electronic medical records (EMR) systems like Epic or Cerner to manage data when needed. + Create and maintain spreadsheets, presentations, and other documentation tools with accuracy. Requirements Required Qualifications and Skills: + Bachelor’s degree in business administration, Healthcare Management, or a related field preferred. + At least 3 years of experience as an executive assistant, ideally within the healthcare industry. + Proficiency with electronic medical records systems (e.g., Cerner, Epic), Microsoft Office Suite, and scheduling tools. + Knowledge of healthcare-specific regulations (e.g., HIPAA). + Exceptional organizational and time-management skills. + Strong communication abilities—both written and verbal. + High level of discretion and ability to handle confidential information.
