Summary:  

The Executive Assistant provides the highest level of executive support and serves as a key partner for the Chief Operating Officer (COO), Chief of Staff (COS) and VP of Pet and Nutrition teams.  In this role, you will represent the COO internally and externally and serve as the primary contact for various administrative and project needs.  In addition, you’ll be a key partner working alongside the COO to lead various initiatives, projects and events across several organizations. Overall scope will be approximately 80% Executive Assistance and 20% Project related activities

Essential functions (responsibilities, tasks, supervisory needs)

Proactively support the daily needs of the COO, COS and VP Pet and Nutrition by maintaining and monitoring daily schedules ensuring efficient time management, completing monthly expense reports, delegation and approval support, communication support, and managing regular executive meeting cadences. 

Assist in drafting professional communications and compelling meeting materials, working closely with the team to brainstorm tone and messaging; handle logistics and scheduling of key organization-wide communications.  

Offer feedback, thought partnership, and advice to drive continuous operational improvement.  

Create, edit, and occasionally deliver presentations on behalf of the executives.  

Provide project management support by tracking progress and milestones, driving deadlines, communicating project statuses to relevant stakeholders, and identifying potential risks and mitigation strategies.  

Maintain SharePoint and Web-based content keeping data and documents organized and accessible.  

Support programmatic initiatives; Town Halls, Learning Sessions, Onboarding, Employee Engagement Support, Employee Events, etc. 

Coordinating Board of Directors materials as required.  

Travel Planning and Coordination, including airfare, hotels, logistics, specific arrangements, and necessary documentation. 

This is a salaried exempt position with an annualized salary range of $85k to $123k.
