Executive Assistant
Description We are offering a contract to permanent employment opportunity for an Executive Assistant in San Antonio, Texas. In this role, you will be instrumental in ensuring efficient communication and task resolution within our team by managing a shared inbox and coordinating various tasks. Responsibilities: • Oversee a large shared inbox, ensuring all incoming emails are promptly addressed and tasks are delegated to the appropriate team members. • Keep track of email correspondences and issues, ensuring they are resolved with a high level of accuracy and thoroughness. • Communicate with external parties when necessary, maintaining professionalism and clarity in all written and verbal responses. • Develop and maintain organizational systems to manage and prioritize high volumes of communication and tasks. • Work closely with various teams to ensure accurate delegation and resolution of email inquiries. • Provide additional administrative support to ensure the smooth daily operations of the department. • Effectively manage calendars, schedule conference calls, and handle other administrative tasks. • Maintain a high level of organizational awareness and demonstrate strong organizational capabilities in all tasks. • Utilize Microsoft Office Suite for organizing and tracking communications. Requirements • Proficiency in Calendar Management is required to schedule and manage appointments effectively. • Exceptional Communication skills are necessary for conveying information clearly and in a detail-oriented manner. • Experience in handling Conference Calls, including scheduling, moderating, and follow-ups. • Ability to manage Correspondence, including drafting letters, emails, and other forms of written communication. • Mastery of Inbox Management to handle high volume emails and prioritize responses. • Excellent Coordination skills to manage logistics and ensure smooth operation of office activities. • Strong Written Communication skills for drafting detail-oriented emails, reports, and other documents. • Demonstrated Organizational Awareness to understand the dynamics and functioning of the organization. • Proven Organizational Capabilities for planning, prioritizing and managing multiple tasks simultaneously. • Exceptional Organizational Skills to keep track of information and tasks in a fast-paced environment. • Prior experience in Administrative Assistance, including office management and staff support. • Proficiency in Office Administration to manage office supplies, maintain office equipment, and ensure office operations run smoothly.
