Overview
As the Executive Assistant at Renewal by Andersen, you play a critical role in supporting the Executive Leadership team. You will provide high-level, confidential administrative support to the Executive Leadership team, with the primary function of providing administrative support to the President and the Head of Production including scheduling, managing travel, and expense reporting. This role requires a team player with an ability to work with the business and serve as the central hub of the Renewal by Andersen office and leadership team in our Stamford, CT office. This position is often privy to privileged information and as such, requires accuracy and discretion.
About You
You are a self-starter with a keen attention to detail, exceptional organizational skills, strong communication skills, and a drive to execute. You are able to balance high-volume and time-sensitive information and manage multiple action items. You are willing to go above and beyond to proactively anticipate the needs of the Executives, manage changing calendar commitments, and balance work priorities.
Key Responsibilities
- Provide day-to-day administrative support, including managing the President’s and the Head of Production’s calendars, prioritizing meetings and commitments.
- Handle confidential information with discretion and accuracy.
- Coordinate travel logistics, including flights, cars, and accommodations.
- Facilitate all meetings so they are seamless including: arranging virtual and in-person meetings, requesting agenda items from meeting attendees, sharing the agenda ahead of the meeting, setting up meetings and presentations.
- Support high-level initiatives and coordinate strategic projects: help plan, track, and execute initiatives set by executives. Communicate key messages, schedule meetings, and assist with follow-ups to keep leadership initiatives on track in a growing organization.
- Utilize your technical skills to navigate the CRM platform. Prepare and print reports, presentations, and notes; set up meeting rooms, and reorder department supplies.
- Assist with office operations, including assisting with vendor coordination and supply management.
- Foster strong relationships with internal stakeholders and external partners. Act as a liaison between internal teams, senior executives, and external partners. Ensure the
various departments (i.e. Sales, Operations, Finance) stay informed, aligned, and have the necessary support from leadership.
- Complete and maintain expense reports.
- Assist with event planning and special projects, taking on ad-hoc projects as needed.
Qualifications
- High school diploma or equivalent preferred
- 5+ years of experience as an executive assistant, or 7+ years of experience as an administrative assistant, reporting to one or more executives
- Proven ability to handle confidential information professionally
- Independent; able to work under little direction and exercise sound judgment when making time sensitive decisions
- Must be extremely adaptable, highly motivated, personable, and detail oriented with excellent organizational skills
- Proven ability to drive projects forward while simultaneously multitasking in an environment with shifting priorities. Maintain composure in a fast-paced setting, juggling a high number of internal and external requests
- Intellectual curiosity, desire to learn the business to facilitate thoughtful team support
- Excellent written and verbal communication skills
- Highly proficient in Microsoft Office Suite, especially Word, Excel, and PowerPoint, and comfortable navigating CRM platforms. Experience with Salesforce a plus.
- Ability to work out of the Stamford CT office 5 days a week
