Executive Assistant
Description We are in search of an Executive Assistant to join our team in Tampa, Florida, 33609, United States. In this role, you will be working in the non profit sector and your main duties will involve managing the day-to-day needs of the president and chair, as well as coordinating meetings, handling travel arrangements, and maintaining office functionality. Responsibilities: • Manage the day-to-day needs of the president and chair, ensuring they have everything they need for their daily operations. • Coordinate meetings, ensuring all necessary materials are prepared and distributed in advance. • Handle travel arrangements, including booking flights, hotels, and arranging transportation. • Answer phones and handle mail, ensuring all communication is accurately recorded and directed to the appropriate parties. • Ensure office management functions are carried out efficiently, including maintaining office supplies and equipment. • Utilize Microsoft Office Suite to maintain accurate records and produce necessary documents. • Occasionally assist with personal tasks for the president and chair, such as picking up prescriptions or taking dogs to the vet. • Work independently, maintaining productivity even when working alone in the office. This is a permanent position that will pay up to $80,000 depending upon experience. Please apply to Jane Gearhart if interested! Requirements • Proven experience in an Executive and personal Assistant role or similar administrative tasks. • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. • Excellent written and verbal communication skills. • Exceptional organizational and time-management skills. • Ability to prioritize tasks and handle multiple assignments simultaneously. • Strong problem-solving skills and the ability to think quickly under pressure. • Ability to maintain confidentiality with sensitive company information. • Flexibility to adapt to changing workloads and deadlines. • Strong interpersonal skills to interact with staff at all levels. • Willingness to work beyond standard business hours when necessary. • Ability to work independently, as well as part of a team. • Detail-oriented mindset with a high level of accuracy. • Possess a detail-oriented and positive demeanor.
