**Job Summary**
The Department of Statistics in the College of Literature, Science, and the Arts is seeking a motivated, enthusiastic, and skilled administrative professional for the role of Executive Assistant.

The unit is home to approximately 32 faculty and 7 regular administrative, 925 undergraduate majors, 225 master's, and 85 Ph.D. students. The department's mission is to advance research and education in the Statistical Sciences while contributing to the overall objectives of the university and the College of Literature, Science, and the Arts (LSA). **Responsibilities***
The executive assistant reports to the chief administrator and is a significant and integral part of the STATS core administrative team. The role has two main components: (1) coordinating the department's most important initiatives and (2) providing high-level administrative support to the chair and chief administrator.
**Coordination**
+ Lead process for faculty recruitment and promotions in conjunction with the chair and chief administrator
+ Develop and maintain a rigorous follow-up system to ensure deadlines are met and materials are received on time.
+ Coordinate, plan, and implement department-wide and industry day meetings
+ Develop and utilize strategies for managing information across multiple systems, including Dropbox, Google Drive, and Shared Drive.
+ Manage multiple roles and projects in an administrative team
+ Prepare and distribute agenda; track and follow up on discussions and/or directives from prior meetings
**Administrative Support**
+ Compose and initiate original correspondence requiring interpretation of policies; prepare, edit, and type confidential and sensitive reports and correspondence for the chair.
+ Manage the chair's and CA's calendar, email, and task list, exercising a high level of discretion and independent judgment regarding priorities.
+ Advise chair on policy matters, including issues requiring comprehensive knowledge of Department, College, and University policies.
+ Provide hosting and administrative support for meetings as required, including collecting, preparing, and distributing materials to attendees, developing agendas, and handling follow-up on action items.
+ Support the chair and chief administrator, serving as back-up during staff absences; assist during high-demand periods in meeting office deadlines.
+ Handle highly sensitive and confidential documents; proofread materials for meetings, letters, and announcements; help to prepare and send e-mails and announcements that go out from the chair.
+ Maintain several email groups and maintain and distribute the master department-wide lists.
+ Coordinate with the University's Shared Services Center to submit Concur reports and reconcile PCard charges.

**Required Qualifications***
+ Ability to partner and work collaboratively with teams and build effective professional partnerships
+ Demonstrated experience working autonomously on multiple tactical and strategic projects with the Department chair and chief administrator
+ Skills in managing time efficiently and effectively, concentrating on important priorities, and adapting as priorities shift
+ Proficiency with Microsoft Office and/or similar office productivity suite(s) with pivot tables, mail merges, and other high-level competencies.
+ Past successful project and program management experience
+ Exceptional attention to detail
+ Strong organizational skills
+ Strong ability to speak and write clearly to a variety of audiences
+ Strong ability to draft communications and edit
+ 5 years of administrative support experience
+ High school diploma or equivalent combination of education and experience
**Desired Qualifications***
+ Bachelor or advanced degree preferred
+ 5-7 years of administrative experience, especially in an academic environment
+ Experience supporting executive-level positions
+ Familiarity with faculty life cycle and academic administration processes
+ Experience with project management software a plus

**Additional Information**
The salary range for this position is $56,500 to $70,600. Please note a higher salary may be offered based on equity and the selected candidate's experience.
