Executive Assistant

Description We are seeking a diligent Executive Assistant to join our team. As an Executive Assistant, you will be responsible for managing the executive's schedule, ensuring effective communication, and coordinating various tasks. This role offers a contract to permanent employment opportunity, ensuring long-term detail-oriented growth.
Responsibilities
• Effectively manage the executive's calendar by scheduling meetings, appointments, and travel arrangements.
• Handle incoming requests and correspondence with priority, ensuring responses are provided promptly.
• Take the lead in planning, coordinating, and managing meetings which includes preparing agendas, taking minutes, and following up on action items.
• Manage the logistics for meetings, including booking rooms, arranging catering, and ensuring audiovisual requirements are met.
• Coordinate complex travel itineraries including flights, accommodations, and transportation.
• Draft, proofread, and edit correspondence and reports as needed.
• Collaborate with other departments or external partners on various initiatives.
• Maintain the executive's office supplies and equipment, ensuring an efficient and welcoming office environment.
• Handle sensitive and confidential information with discretion and detail-oriented, maintaining strict confidentiality regarding all aspects of the executive's activities and communications.
• Perform various administrative tasks such as filing, data entry, and managing documentation.
• Provide general administrative support to the executive as needed. Requirements
• Expertise in Calendar Management to coordinate and schedule meetings
• Excellent Communication skills to liaise effectively with internal and external stakeholders
• Experience with coordinating and managing Conference Calls across different time zones
• Ability to manage Correspondence, including drafting emails and letters
• Prior experience in providing Administrative Assistance, including filing, creating reports, and managing office supplies.
