Description We are offering an exciting opportunity for an Executive Assistant in Everett, Washington, United States. In this role, you will be directing the activities of the administrative support staff, ensuring the completion of tasks in a timely manner. Your duties will include producing high-quality documents and materials for the CEO and Board of Directors, organizing schedules, coordinating meetings, and maintaining donor records. This role is also involved in grant preparation, long-term planning, and computer training.
Responsibilities:
• Deliver exceptional secretarial support to the CEO and Board of Directors
• Maintain an up-to-date master file of all donors
• Develop procedures related to workflow, information dissemination, and bulk mailing
• Manage and update the filing system
• Oversee the distribution of the external newsletter
• Keep Board and Committee members informed about meetings
• Record and prepare minutes for Board and Committee meetings
• Participate in grant preparation, long range planning, computer training, special events, presentations, and appeals
• Engage in Leadership/Management Teams and internal committees as required or assigned
• Maintain customer credit records with accuracy Requirements • Applicant must possess proficiency in ADP - Financial Services for managing and coordinating financial matters.
• Proficiency in Cisco Webex Meetings is essential for conducting and managing online meetings and webinars.
• Familiarity with Concur software is required for managing travel and expenses.
• Must have experience with CRM systems for efficient customer relationship management.
• Knowledge of the Kronos Timekeeping System is necessary for accurate time tracking and workforce management.
• Proficiency in About Time software is required for effective project management and resource allocation.
• Strong skills in Calendar Management are necessary for scheduling and organizing meetings, appointments, and deadlines.
• Excellent Communication skills are a must for clear and effective interaction with team members, clients, and stakeholders.
• Ability to manage Conference Calls is necessary for coordinating and facilitating effective remote meetings.
