Executive Assistant
Description Job Summary: We are seeking a resourceful and proactive Executive Assistant to provide high-level support to our team by managing a variety of administrative, operational, and organizational tasks. The ideal candidate will be a reliable problem-solver with excellent communication skills, adept at multitasking, and capable of handling diverse responsibilities ranging from bid management and HR assistance to fleet and bookkeeping support. This role is critical in ensuring smooth operations across several departments, making it perfect for someone who thrives in a dynamic and fast-paced environment. Key Responsibilities: + Public Bid Management: + Review, organize, and send public bid opportunities to the appropriate teams. + Ensure timely submission and tracking of bid deadlines. + Technical Support: + Assist with resolving phone-related technical issues. + Provide troubleshooting support for computer systems and email platforms to ensure operational efficiency. + Benefits Administration: + Manage renewals for medical and dental plans. + Assist the HR department in tracking benefit eligibility for employees and maintain compliance with relevant guidelines. + Safety Program Coordination: + Update and manage safety programs, coordinating with crew members to ensure compliance. + Organize and distribute safety awards in recognition of team achievements. + Fleet and Licensing Management: + Maintain driver logs, ensuring compliance with relevant regulations. + Oversee fleet programs, including vehicle maintenance schedules and license renewals. + Bookkeeping Support: + Assist with basic bookkeeping tasks as needed, ensuring accuracy and timely completion of financial records. + Organizational and Administrative Tasks: + Perform a wide range of organizational duties to maintain an efficient and productive office environment. + Handle special projects, file management, and general administrative tasks as required to support company operations. Requirements Qualifications: + Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role. + Proficiency with computer systems, email platforms, and Microsoft Office Suite (Word, Excel, Outlook). + Familiarity with HR processes, safety programs, and benefits administration is a plus. + Strong organizational and multitasking skills with the ability to prioritize and meet deadlines. + Excellent problem-solving abilities, attention to detail, and interpersonal communication skills. + Experience with bookkeeping and/or fleet management is a bonus.
