Description We are offering an exciting opportunity for an Executive Assistant in the heart of Clarksville, Tennessee. In this role, you will be instrumental in supporting high-level operations within our organization. Your primary duties will involve maintaining executive calendars, managing travel arrangements, and coordinating executive meetings, amongst other responsibilities.
Responsibilities:
• Provide high-level administrative support by managing an active calendar of appointments, ensuring punctuality and efficient time management.
• Arrange comprehensive travel plans and itineraries, and compile documents for travel-related meetings.
• Coordinate and prepare for executive meetings, including gathering and preparing necessary materials.
• Act as the first point of contact for the executive team, managing incoming inquiries and requests.
• Ensure all relevant corporate documentation is accurate and up to date.
• Facilitate internal communication procedures, meetings, and conferences.
• Maintain a smooth flow of information between executives and stakeholders.
• Manage projects and conduct research as needed to support executive initiatives.
• Uphold a strict level of confidentiality and professionalism at all times.
• Perform other related duties as assigned, supporting the efficiency of the executive team. Requirements • Proficiency in Calendar Management, with the ability to efficiently schedule and manage appointments, meetings, and events.
• Experience in Arranging Travel, including booking flights, accommodations, and local transportation, as well as handling any changes or cancellations in a timely manner.
• Ability to effectively coordinate Executive Meetings, including preparing agendas, setting up conference calls, and providing necessary materials.
• Strong organizational skills, with a keen eye for detail and the ability to manage multiple tasks and projects simultaneously.
• Excellent communication skills, both written and verbal, with the ability to liaise professionally with executives, employees, and external stakeholders.
• Advanced proficiency with office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and email management tools.
• Proven ability to work well under pressure, with excellent problem-solving skills and the ability to make decisions in a fast-paced environment.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Minimum of 3 years of experience in an Executive Assistant role or similar position.
• Bachelor's degree in Business Administration or a related field is preferred.
