Executive Assistant
Description We are offering a contract for a permanent employment opportunity for an Executive Assistant in the Government sector. This role involves providing high-level administrative support within a fast-paced, regulated corporate environment, managing executive schedules, coordinating meetings, and handling confidential communications. Responsibilities: • Facilitate effective communication between executives, board members, shareholders, and internal teams. • Manage intricate executive calendars, schedule meetings, appointments, and arrange travel logistics. • Maintain confidential records, contracts, and corporate documentation in line with company policies. • Serve as a key point of contact for external partners, shareholders, and regulatory agencies. • Assist with the preparation and distribution of materials for board meetings, investor relations, and regulatory filings. • Coordinate company events, investor meetings, and internal leadership conferences. • Prepare reports, presentations, and correspondences on behalf of executives. • Ensure compliance with SEC regulations and corporate governance policies when dealing with sensitive documents. • Assist with drafting internal communications and press releases related to corporate announcements. • Act as a gatekeeper, screening and prioritizing emails, calls, and meeting request. Requirements • Proficiency in using ADP - Financial Services for managing financial tasks and duties • Familiarity with Cisco Webex Meetings for seamless digital communication and meetings • Experience with Concur for streamlined travel and expense management • Proficiency in CRM tools for effective customer relationship management • Experience with Kronos Timekeeping System for accurate tracking of work hours • Familiarity with About Time software for efficient project management • Excellent calendar management skills to schedule meetings, appointments, and deadlines • Strong communication skills for clear and effective correspondence with various stakeholders • Ability to manage and facilitate conference calls effectively • Experience in handling detail oriented correspondence, both internal and external.
