Description We are offering a short term contract employment opportunity for an Executive Assistant based in Orange, California. The primary role of the Executive Assistant will be to provide comprehensive support to the CEO, including but not limited to managing the CEO’s schedule, coordinating meetings and travel, and assisting with administrative tasks.
Responsibilities
• Efficiently manage the CEO's calendar, ensuring smooth workflow and addressing competing priorities as necessary.
• Assist in the preparation of necessary materials for board meetings, ad hoc committee meetings, and annual board retreats.
• Coordinate and provide administrative support for board and committee meetings, including generating minutes and task lists.
• Oversee and maintain Board Handbooks, update board contact information and provide handbooks to new board members as required.
• Support CEO in fundraising efforts and cultivation of relationships, providing materials as provided by the Development Dept. and updating CEO donor portfolio with activity.
• Prepare a variety of documents such as correspondence, reports, and presentations based on minimal direction.
• Assist with the creation of administrative procedures and development of communication systems.
• Coordinate business and personal travel arrangements for the CEO.
• Process expense reports and reconcile corporate credit card statements.
• Ensure proper execution and communication of corporate meetings led by the CEO, notify staff of Corporate Staff Meetings, and prepare agendas. Requirements • Proven experience in an Executive Assistant role or similar administrative position
• Proficiency in using Concur or similar travel and expense management software
• Exceptional calendar management skills with the ability to coordinate complex executive meetings
• Excellent verbal and written communication skills, with a focus on clear and concise correspondence
• Experience in coordinating and managing conference calls, including setting up, troubleshooting, and follow-up actions
• Strong ability to handle various types of correspondence, including letters, emails, and reports
• Demonstrable experience in providing administrative assistance, such as filing, typing, copying, binding, scanning, etc.
• Previous administrative experience in a fast-paced, detail-oriented environment
• Proficiency in email correspondence, with a focus on attention to detail and professionalism
• Experience in booking and managing travel arrangements, including flights, transportation, and accommodations. TalentMatch®
