About the Role: Grade Level (for internal use): 07 The Role: Executive Assistant The Team: The Executive Operations Support team provides comprehensive administrative and operational assistance to Executive stakeholders across the MI organization, ensuring seamless support through standardized workflows. The Impact: As an Executive Assistant within the Executive Operations & Support team, you will be responsible for coordinating and booking all travel arrangements, including flights, accommodation, and ground transportation for executives. You will also manage critical administrative tasks, optimize daily workflows, and ensure smooth communication across teams. By handling scheduling, travel logistics, and other high-level operational functions, you’ll allow executives to focus on strategic priorities with precision and discretion. Responsibilities: Manage and coordinate all travel logistics, including flights, accommodations, and ground transportation for global leaders. Serve as the primary point of contact for all travel-related inquiries. Act as the main liaison for visa-related inquiries and support. Ensure timely processing of visa applications for international travel, coordinating with embassies, consulates, and visa service providers. Maintain travel data and provide regular reports on travel costs, savings opportunities, and trends. Maintain and organize the executive's appointment schedule, including planning and scheduling meetings, conferences, and teleconferences. Organize and coordinate meetings, prepare agendas, take minutes, and follow up on action items to ensure completion. Manage executive expenses, prepare expense reports, document receipts, and ensure compliance with company policies. Address any inquiries or discrepancies related to travel expenses. Regularly update stakeholders on project statuses and communicate effectively with internal teams. Maintain accurate workflow procedures and support the team in managing daily operations. Provide after-hours support on a rotational basis, including during emergencies. Handle sensitive information with discretion, always ensuring confidentiality. Serve as the primary point of contact for travel-related inquiries and assistance Support in group travel for internal events Maintain travel data and provide regular reports on the cost and savings opportunities Qualifications: Education: Bachelor’s degree in Business Administration, Management, Communications, or a related field (preferred), but not required if comparable work experience is established. Language Proficiency: Strong verbal and written communication skills, with the ability to interact effectively and build relationships across all levels. Work Experience: 3+ years of experience as a Travel Coordinator or Executive Assistant. Background in the Travel Industry, either through work experience or academic studies. Work Schedule/Travel/On-Call Requirements: Availability to work during U.S. business hours. Flexible schedule to meet urgent deadlines and business demands. Open to weekend work and after-hours on-call duties as required. Working Environment: Consistent attendance is essential. Fast paced and dynamic work environment. Frequent use of computers and digital tools. Relevant Knowledge, Skills, and Competencies: Extensive experience providing travel support in a global setting is highly advantageous. Proven ability to manage and support multiple executives across diverse business functions. Proficiency in using Zoom Webinar and experience in coordinating and managing webinar events. Strong ability to perform under pressure, meet tight deadlines, and maintain focus while managing competing priorities. A collaborative team player with a track record of success in fast-paced, high-demand environments.
