We are looking for a skilled and detail-oriented Executive Assistant to join our team.
Job Description: As an Executive Assistant at Moore's Electrical & Mechanical, you will be responsible for supporting the President-CEO as needed in the execution of his responsibilities. This role provides high-level administrative support by preparing reports, handling information requests, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for the executive team. The role generally has some supervisory guidance but primarily relies on experience and personal judgment to make decisions that impact performance.
Key Responsibilities:
+ Maintains confidentiality with unquestionable integrity.
+ Answers electronic communications and phone calls and directs calls as appropriate or takes messages.
+ Manages calendars of supervisor and executive team using calendar management software.
+ Provides support to CEO and executive team for all day-to-day operations.
+ Prepares any documents needed for consideration, review, discussion, execution and presentation by executives, committees, and board of directors.
+ Reviews incoming memos, letters, submissions, and reports to determine their significance and plan their distribution.
+ Reviews a variety of outgoing materials, including reports, emails, letters, presentations and memos for content, and recommends changes.
+ Demonstrates continuous effort to improve operations, streamline work processes, and work cooperatively with staff to provide quality service.
+ Plans, arranges, and executes, team-building events, group outings and manages catering for lunches and group meetings.
+ Establishes and maintains a positive working relationship with profit centers and support departments, customers, and partners to promote a quality service image.
+ Makes travel arrangements for executives.
+ Assist in the preparation of materials and presentations for Managers' Meetings. Attends meetings for proper note taking, action items, distributions and follow-up.
+ Ability to monitor progress and report back to the CEO the status of projects being completed by others within Moore's.
+ When CEO is out of the office, assess issues, gather information and recommend solutions and/or actions to the CEO.
Qualifications:
+ High school diploma or equivalent
+ Four (4) years of administrative experience at a high organizational level or a combination of training, education and experience that provides the required knowledge and abilities.
+ Some experience working in the construction industry desired.
+ Proven leadership skills.
+ Ability to prioritize tasks, work effectively under stress, meet short deadlines, and take direction.
+ Ability to coordinate multiple schedules and produce accurate work despite frequent interruptions.
+ Able to work individually with a teamwork mindset.
+ Effective communication skills, both written and verbal.
+ Highly proficient computer skills including Microsoft products.
