We are looking for a skilled and detail-oriented Executive Assistant to join our team.\n

Job Description: As an Executive Assistant at Moore's Electrical & Mechanical, you will be responsible for supporting the President-CEO as needed in the execution of his responsibilities. This role provides high-level administrative support by preparing reports, handling information requests, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for the executive team. The role generally has some supervisory guidance but primarily relies on experience and personal judgment to make decisions that impact performance.\n

Key Responsibilities:\n\nMaintains confidentiality with unquestionable integrity.\nAnswers electronic communications and phone calls and directs calls as appropriate or takes messages.\nManages calendars of supervisor and executive team using calendar management software.\nProvides support to CEO and executive team for all day-to-day operations.\nPrepares any documents needed for consideration, review, discussion, execution and presentation by executives, committees, and board of directors.\nReviews incoming memos, letters, submissions, and reports to determine their significance and plan their distribution.\nReviews a variety of outgoing materials, including reports, emails, letters, presentations and memos for content, and recommends changes.\nDemonstrates continuous effort to improve operations, streamline work processes, and work cooperatively with staff to provide quality service.\nPlans, arranges, and executes, team-building events, group outings and manages catering for lunches and group meetings.\nEstablishes and maintains a positive working relationship with profit centers and support departments, customers, and partners to promote a quality service image.\nMakes travel arrangements for executives.\nAssist in the preparation of materials and presentations for Managers' Meetings. Attends meetings for proper note taking, action items, distributions and follow-up.\nAbility to monitor progress and report back to the CEO the status of projects being completed by others within Moore's.\nWhen CEO is out of the office, assess issues, gather information and recommend solutions and\/or actions to the CEO.\n\n

Qualifications:\n\nHigh school diploma or equivalent\nFour (4) years of administrative experience at a high organizational level or a combination of training, education and experience that provides the required knowledge and abilities.\nSome experience working in the construction industry desired.\nProven leadership skills.\nAbility to prioritize tasks, work effectively under stress, meet short deadlines, and take direction.\nAbility to coordinate multiple schedules and produce accurate work despite frequent interruptions.\nAble to work individually with a teamwork mindset.\nEffective communication skills, both written and verbal.\nHighly proficient computer skills including Microsoft products.\n\n
