Executive Assistant
Description We are offering a long-term contract employment opportunity for an Executive Assistant in West LA. This role will primarily focus on providing administrative support to a busy executive and requires you to be onsite daily. As the Executive Director you will coordinate meetings, events, and travel arrangements, while also handling various editorial, research, and administrative projects. Responsibilities • Ensure smooth running of daily office operations • Oversee the preparation, development, and production of presentations • Handle scheduling and coordination of meetings and event planning • Maintain calendars on multiple time zones. • Coordinate travel arrangements for departmental staff and handle travel requests and expense reports • Act as a resource to department staff on organizational policies and procedures, staying up to date on any changes • Carry out administrative duties associated with arranging services with external vendors and overseeing production and distribution of related materials • Gather data for departmental reports, conduct preliminary analysis, and recommend report content and format to effectively display findings • Manage contracts, invoices, and payments for external consultants and vendors, liaising with Procurement and Finance Departments as needed • Assist in the preparation of budget materials, track and monitor budget expenditures, and report on variances • Maintain office equipment and manage departmental needs for office supplies.
