Description
Our client, an innovative leader in the biotech industry, is seeking a proactive and highly organized Executive Assistant to support their executive team. This role is perfect for a dynamic professional with strong administrative skills and a passion for working in fast-evolving environments.
Responsibilities:
+ Provide administrative support to senior executives, including managing calendars, scheduling meetings, and preparing necessary meeting materials.
+ Coordinate international and domestic travel arrangements, ensuring seamless itineraries aligned with company priorities.
+ Act as the first point of contact for inquiries, both internal and external, ensuring excellent communication and professionalism.
+ Assist with the preparation of financial reports, executive presentations, and key metrics for the leadership team.
+ Facilitate communication and correspondence between executives, board members, investors, and other biotech industry contacts.
+ Handle expense reporting, invoice processing, and other financial documentation.
+ Support department initiatives and execute special projects, including event planning and coordination.
+ Maintain confidentiality at all times when handling sensitive company information.
+ Collaborate with internal teams to streamline administrative processes and resolve urgent matters promptly.
Requirements
+ 5+ years of direct experience in an Executive Assistant role, with preference given to candidates with prior biotech or life sciences industry exposure.
+ Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Trello, Asana, or similar).
+ Exceptional written and verbal communication skills, with the ability to manage relationships across all organizational levels.
+ Strong organizational skills and the ability to prioritize tasks while maintaining high attention to detail.
+ Comfortable working in a fast-paced and high-performing environment, demonstrating a solution-oriented mindset.
+ Bachelor’s degree preferred but not required; additional certifications in executive assistance or project management are a plus.
