Job Summary\:

The Executive Assistant and Event Coordinator for the Dean of the College of Engineering will be responsible for administrative and operational matters for the Dean’s office and staff. The incumbent will provide executive administrative support to the Dean’s office, such as but not limited to coordinating the Dean's professional and community commitments including travel, calendar, correspondence, calls, processing travel reimbursements, maintaining association memberships and payment of dues. Manages projects such as receptions, both local and out-of-town, prepares correspondence and communications for staff and executive meeting schedules/agendas, records and distributes minutes of such meetings. Works closely with Associate Dean of Faculty Affairs in managing/organizing all faculty appointments and tenure and promotions. The Executive Assistant will indirectly oversee 5 Department Administrative Specialists each of which support their department chairs and faculty.

The Executive Assistant will also oversee college-wide events including but not limited to\: Senior Design, Engineer’s Week, College Commencement Ceremonies for the Spring and Winter, Dean’s Conferences, and Faculty Retreats. Performs other duties as assigned.

Required Education & Experience\:

Bachelor's degree and at least 2 years of directly related experience in senior-level administrative support, event planning, and execution experience in a university setting. A combination of education and experience may be considered.

Required Skills & Abilities\:

Proficiency with Microsoft Office Suite including Outlook, Word. Excel, PowerPoint, and Access. Excellent written/verbal communication skills and ability to proofread and edit .
Strong organizational skills and ability to manage and organize complex documents. Ability to exercise sound judgment and work effectively under pressure. Must possess a demonstrated ability in project management and ability to independently manage and prioritize a variety of projects in a fast paced environment. Excellent interpersonal skills and capacity to interact with people of all constituent groups . Demonstrates executive poise, presence, and demeanor; ability to lead by influencing. Demonstrated ability to execute successful events and experiences for a variety of audiences. Ability to balance multiple tasks and provide appropriate follow-up services. Demonstrated customer service skills. 

This position does require a background check.
