As an Administrative Assistant in the Multi Asset Solutions and EMEA ex UK team, you will play a crucial role in supporting our client-facing teams and senior leadership. You will manage day-to-day administrative tasks, ensuring smooth operations and effective communication. Your contributions will be vital in maintaining our high standards of service and efficiency. Job Responsibilities
Manage diaries for team members, acting as a gatekeeper and main contact for both internal and external meetings. Coordinate complex travel arrangements in line with restrictive guidelines. Organize logistics for external visitors. Reconcile and process expenses and invoices promptly, owning end to end. Flag and address incoming issues, ensuring deadlines are met. Handle technology requests through in-house systems. Support related visitors when in London. Provide coverage for other team members when needed. Onboard new employees efficiently. Liaise with facility staff for operational needs. Stay updated with audit and compliance guidelines.Required Qualifications, Capabilities, and Skills
Minimum 5 years of experience as an administrative assistant supporting high-profile stakeholders. Strong organizational skills with attention to detail, ability to multitask and prioritize effectively. Excellent interpersonal skills and relationship-building abilities. Strong written and verbal communication skills. Proactive mindset with flexibility to adapt to changing demands, often at short notice. High levels of confidentiality and discretion. Resourceful team player with a proactive approach to supporting colleagues amongst the Admin population. Ability to remain calm under pressure. Ability to work independently and as part of a team. Strong problem-solving skills. Experience in managing technology requests. Understanding of complex travel and in country requirements.
