Job DescriptionRole Overview:In this role, you will provide critical support to the Chief Corporate Counsel and Deputy Secretary as an executive assistant while managing board liaison responsibilities, special projects, and process improvement initiatives. This position requires a proactive, organized individual capable of handling a variety of tasks and ensuring smooth team operations.Key Responsibilities:Executive Assistant Support:Provide dedicated executive support by managing calendars, scheduling meetings, coordinating travel, and handling expense reports. Prioritize both emails and tasks to ensure that critical matters receive timely attention and the Chief Corporate Counsel focuses on high-priority items. Oversee budget tracking, manage vendor relationships, handle purchase orders (POs), and ensure billing processes are executed efficiently. Address any other administrative tasks as needed to ensure smooth day-to-day operations. Facilitate smooth communication and provide logistical support for meetings and events.Board Liaison:Serve as the primary support contact for the GE Vernova Board of Directors. Coordinate the preparation of board materials, including document creation and review, and manage communications and logistics for all board meetings. Organize travel, accommodation, and logistics for director attendance at meetings. Manage the payment of directors’ fees and their expenses. Ensure follow-ups and requests from the board members are addressed in a timely and professional manner, and liaise with the executive leadership team as needed. Maintain clear and timely communication between the board and stakeholders, ensuring accurate and efficient delivery of documentation and follow-through on board actions. This role requires attendance and travel to all board meetings.Special Projects and Process Improvement:Lead or support special projects aimed at improving operational efficiency using the principles of lean methodology. Analyze workflows, identify areas for improvement, and build and implement sustainable processes that ensure ongoing improvement without external input. Incorporate automation solutions where applicable to streamline tasks and improve efficiency. Projects can range from process enhancements to any other initiatives that add value to the team or leadership. Manage timelines, and ensure successful execution of initiatives that contribute to long-term effectiveness and productivity.Qualifications:Bachelor’s degree or equivalent experience; a high school diploma with substantial relevant experience will be considered.Proven success in managing multiple priorities in fast-paced, constantly changing environments.A proactive and solution-oriented approach, with strong organizational skills and a focus on supporting leadership objectives.At least 5 years of experience in executive support or operations roles, with demonstrated ability to manage budgets and vendor relationships.Desired Skills:Excellent written and verbal communication and interpersonal skills, with a customer-focused approach.Strong organizational and multitasking abilities, capable of balancing a variety of responsibilities.Ability to use indirect influence to work effectively across the organization, engaging and coordinating with various stakeholders across multiple levels of an organization.Ability to leverage problem-solving skills to design, optimize and implement effective processes.Ability to lead and project cross-functional projects that include multiple stakeholders.Experience with automation tools and technology solutions to improve workflows and increase efficiency.Ability to quickly learn and implement new technologies to improve efficiency.Proficiency with Box, SmartSheet, and other advanced document management and workflow tools.Experience with board portal technology solutions such as BoardVantage or Diligent and/or law firm billing systems.Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
The base pay range for this position is $85,000 - $135,000. The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set. This posting is expected to remain open until at least November 13th, 2024.
