Executive Assistant II, Corporate Treasury

The Executive Assistant is responsible for providing high-level support to the Corporate Treasurer and the broader Treasury staff. This position is responsible for keeping the team organized and managing day-to day operations, handling various administrative tasks, and ensuring seamless communication within the organization. This role requires a proactive, multi-tasker and organized professional capable of handling variety of tasks to ensure smooth operations and contribute to the success of the team.

ESSENTIAL JOB FUNCTIONS:

Handle the global executive calendar by scheduling all meetings and appointments with a constantly evolving schedule across all time zones of the Corporate Treasurer and the members of the teamTrack and drive the completion of deliverables and follow upsPrepares reports, presentations and correspondence for the board and committee meetings, edits and proofread complex documents for accuracyProcess invoices and coordinates with the Accounts team for payment processingManage expense report coordination and submission of the executives and the teamWord process dictated material as well as presentations and speeches drafted on behalf of the senior executive.Monitors letters, phone calls and e- mails requesting the senior executive's action and/or presence.Responsible for coordinating onboarding and offboarding processes including setting up hire accounts, system access and workspace arrangements etc.Interacts with the most senior executives of the company including the CEO as well as Board members and external officials including, but limited to, auditors and regulators. Handles inquiries on behalf of the senior executive, where possible.Organize and execute team meetings, social, off-sites and internal/external eventsPrepare a reply to correspondence (phone calls/voicemail, e- mail or hard copy) for the senior executive's review. May reply to correspondence on behalf of the senior executive or route the correspondence to the appropriate party for handling.Arrange meetings and interviews and occasionally represents the senior executive in administrative meetings and interviews where the senior executive's attention is not required.Prepares material for the senior executive's review and sign- off.Negotiates contracts for meeting/conference sites and other associated details.Performs duties in support of Board meetings, periodic senior executive conferences, etc. - -Handles reports and agendas, provides notices, schedules room, provides meeting packets and may operate presentation equipment.Performs staff work assignments such as report generation.Identifies topics that will be discussed at meetings and conferences to prevent the senior executive from being `blind- sided.'Answers routine questions from senior executive's staff.


REQUIRED QUALIFICATIONS:

Undergraduate degree in business related field or equivalent experience.Minimum of five (5) years’ experience in working with senior executivesHigh level of proficiency in Microsoft Word, Excel, PowerPoint, Outlook and TeamsKnowledge of Diligent, Workday, ServiceNow and other software technology is a plusAbility to interact effectively with all individuals at all levels of organizationExcellent attention to detail, organization, and accuracy in work.Excellent communication skills and ability to work in a team environment.Excellent development of collaborative relationships both internal and external.Demonstrated to work independentlyAbility to work in fast-paced environment where multitasking is essential
