Executive Assistant II
One of the largest tech companies headquartered in Seattle, WA is hiring an Executive Assistant in the Sunnyvale, CA office. About the role: + 3 month contract to start, potential for extension/conversion + Compensation: $33/hr + Fully onsite in Sunnyvale, CA Job Description The team seeks a driven, highly organized, and proactive Executive Assistant to support the VP. This position will provide high-level support to the VP and his teams who are engaged in the technological work behind a well-known product, while also coordinating with the EA team on organizational projects and partnering with team members at the Sunnyvale location to create a lively and functional workplace. Responsibilities + Manage an active VP calendar with meticulous attention to detail in scheduling, coordinating, and planning internal meetings, agendas, and appointments. + Plan detailed domestic and international travel and complete expense reports. + Optimize executive effectiveness through partnership on priorities to react to a fast-moving calendar. + Coordinate with the EA team on organization-wide initiatives. + Serve as the 'gatekeeper' to the executives' time by screening and prioritizing appointments/meeting requests while always providing polite and professional communication. + Communicate on behalf of the executives directly with the leadership team and other stakeholders across the organization. + Train other administrative staff on company policies and best practices. + Maintain the VP's calendar and keep it organized for weeks in advance. + Partner with other EA team members on team events, space administration, and build a proactive outlook for upcoming meetings. + Play an instrumental role at the office through maintenance of device storage, setting up for team events, and being a general advocate of the team culture. Essential Skills + 5+ years of experience as an Executive Assistant, preferably at a director's or VP level. + Proficiency in Microsoft Excel. + Experience with expense management and travel arrangements. + Strong communication skills. + Experience with a tech company is ideal. + Previous experience at a tech company is a plus. + Experience supporting a large team. + Ability to think on your feet and improve processes. Work Environment This is a regular full-time position. The work environment is fast-paced and dynamic, with a start-up culture despite being part of a large organization. The team is involved in cutting-edge AI projects, and there is a strong focus on collaboration and communication. The role requires flexibility, including occasionally monitoring messages during off hours. The VP works closely with the team, and there are frequent interactions through weekly syncs and daily communication via Slack. The office is located in Sunnyvale and supports a vibrant and engaging workplace culture. Pay and Benefits The pay range for this position is $30.00 - $33.00/hr.
