Executive Assistant II

As the Executive Assistant to the COO, you will be pivotal in supporting the COO as they transition into their new position at Omnicell. This is an exciting opportunity to assist a key leader in joining our organization, ensuring a smooth integration into the company while managing day-to-day administrative tasks. Your focus will be on efficiency, confidentiality, and proactive support. This role offers high visibility within the organization and requires discretion to handle complex and confidential matters.


Key Responsibilities:

Manage the COO’s dynamic calendar, prioritizing and rescheduling meetings as needed to ensure efficient time management. Oversee domestic and international travel arrangements, including visas and documentation, to support the COO’s busy travel schedule. Ensure smooth communication between the COO, Chief of Staff, and internal departments, demonstrating leadership to maintain credibility, trust, and support across the organization. Work closely and effectively with the COO and Chief of Staff offices, anticipating needs and providing the highest level of proactive support to enable smooth operations. Develop and organize meeting materials, reports, and presentations, maintaining secure and organized records to support effective decision-making. Coordinate and plan meetings, conventions, and special events, negotiating services to ensure quality and cost-effectiveness. Track and reconcile the COO’s expense reports using Concur, and develop and manage the department budget to ensure accurate and timely financial management. Work closely with the Executive Assistant (EA) team on board and earnings preparation, and provide back-up coverage as necessary to ensure seamless support during critical periods. Serve as the primary point of contact between the COO and internal/external stakeholders, handling confidential matters with discretion.


Required Knowledge, Skills, and Characteristics:
 

Advanced skills in Microsoft Office (Outlook, PowerPoint, Excel, Word) to support various
administrative tasks. Exceptional ability to manage multiple tasks efficiently and prioritize effectively in a fast-
paced environment. Strong verbal and written communication skills, with a focus on clarity and
professionalism in all interactions. Ability to handle sensitive information with the utmost confidentiality, ensuring trust
and integrity. Demonstrates initiative, anticipates needs, and independently resolves issues with
minimal supervision. Flexible in managing changing priorities and occasional ambiguities, ensuring continued
support. Maintains a meticulous approach to tasks, ensuring accuracy in all work. Works well with others and fosters a supportive, team-oriented environment. Provides high-quality service to internal and external stakeholders, ensuring their needs
are met. Maintains composure and delivers high-quality work under pressure, ensuring continued
performance.
 

Basic Qualifications:
 

5+ years of experience supporting C-Level executives, preferably a COO Experience in a publicly traded company

Preferred Qualifications:

Bachelor’s degree in business or communications Experience with board interactions and video conferencing tool
