Position Overview:
The Executive Administrative Assistant is responsible for providing comprehensive administrative and organizational support to the Chief Operating Officer (COO) and their respective team(s). This position provides critical assistance and must be capable of making sound decisions, prioritizing tasks, demonstrating flexibility and supporting the COO in an effective manner. The successful candidate is highly capable of working in a fast-paced, open-door environment, and managing tasks with urgency, professionalism and integrity.
Position Responsibilities:
Provide complete administrative support for assigned Executives. Coordinate numerous local and offsite meetings and conference calls. Coordinate team offsites. Create PowerPoint presentations, print & bind when necessary. Gather supporting data as needed and produce report summaries while adhering to tight deadlines. Plan and book and manage domestic and international travel arrangements and meeting logistics/agendas. Ensure flow of information among staff and leadership is efficient and fluid. Improve the efficiency of the team by standardizing and organizing procedures. Perform general clerical duties including calendar management, copying, faxing, filing and organizing, preparing FedEx labels and miscellaneous mailings. Respond to internal and external inquiries and requests in a professional manner. Prioritize work and maintain a sense of urgency when responding to requests. Maintain supplies as needed by departments. Assist other members of the Admin Team with projects and events as needed/on request. Prepare expense reports. Assist the CEO Executive Assistant with duties on an ad hoc basis.Skills and Abilities
At least 10 years of experience providing extensive administrative support to senior executives. Able to type at least 55 wpm while maintaining strict accuracy. Proficient at utilizing a variety of software applications including MS Office Suite. Advanced level skills in MS PowerPoint, Outlook and Word. Excellent organizational, business writing and proofreading skills Ability to prioritize multiple projects. A Team Player, ready to pitch in on request and work collaboratively with the Executive Admin team. Adept to adhering to tight deadlines with little to no lead time. Maintain a high level of confidentiality in all dealings. A forward-thinker Physical Demands Minimum Physical Requirements: Sedentary Bending: Limited or minimal bending required. Lifting: Minimal lifting, if any, usually for light objects, up to 10 pounds. Carrying: Minimal carrying, if any, usually for light objects. Sitting: Mainly performed while sitting with occasional standing or walking. Crawling: Crawling is not applicable to sedentary jobs. Pushing/Pulling: Minimal pushing or pulling required, if any. Standing: Occasional standing for short periods may be required. Walking: Occasional walking for short distances may be required.
