Job Description
We are seeking a highly motivated and customer-obsessed Executive Assistant to support the Vice President of Business Intelligence and Transaction Risk. This role is crucial, requiring a strong focus and execution. The successful candidate will manage a high volume of tasks, including complex calendar management, scheduling, and prioritizing amidst a flood of information and requests. The role also involves monitoring and tracking the VP's meetings, priorities, and emails, acting as a proxy when necessary, managing travel and expenses, and providing all administrative support functions for the office. Additionally, you will be responsible for managing multiple tasks, documenting action items, following up, and preparing for the VP, ensuring timely action on deliverables.
ResponsibilitiesManage complex calendar and scheduling for the VP.Prioritize tasks and information requests with appropriate urgency.Monitor and track VP's meetings, priorities, and emails.Act as a proxy for the VP when necessary.Manage travel and expenses for the VP.Provide comprehensive administrative support for the office.Document, follow up, and prepare action items for the VP.Ensure timely action on deliverables.Essential SkillsAbility to complete a high volume of tasks and projects with minimal guidance.Impeccable attention to detail.Ability to make smart and timely decisions.Ability to react with appropriate urgency to situations requiring quick response or turnaround.Exceptional verbal and written communication skills.Ability to switch gears at a moment's notice.High levels of integrity and discretion in handling confidential information.High degree of professionalism in dealing with senior professionals inside and outside the company.At least two years of college education required; bachelor's degree preferred.Seven years of experience supporting senior management (VPs, Senior VPs, or CEOs).Excellent PC skills, including strong working knowledge of Microsoft Office and Outlook tools.Additional Skills & QualificationsAbility to prioritize effectively.Experience managing tasks for 2-3 directors.Adaptability and ability to go with the flow.Work Environment
This position offers a hybrid work schedule, requiring presence in the Seattle office three times a week. The role demands the ability to thrive in a fast-paced environment with a high degree of ambiguity. You will have the opportunity to provide feedback on process improvements and potentially transition to a permanent position.
