Position Summary
Reporting to the Associate Vice President of Facilities – Operations & Maintenance (O&M), the Executive Assistant/Sr. Coordinator provides high-level support to the Assistant Vice President of Operation, Maintenance and Utilities. This role performs a variety of complex administrative functions, which are of a sensitive and confidential nature. 

You will be responsible for maintaining multiple schedules and calendars; coordinating meetings, travel arrangements and expense reconciliation; screening incoming correspondence and responding independently when possible; preparation of meeting materials and presentations; tracking and ordering supplies; and organizing files and records. You will also support events and tasks ensuring they are completed in a timely fashion; conduct research and fact-gathering; and initiate and maintain working relationships with diverse and critical constituencies, including the COO Staff and their assistants.

You will also be responsible for compiling of data, performing analyses for special projects, while reaching to numerous resources to complete.  Additionally you would also be responsible for support of the O&M Project Management Engineer with the scheduling of meetings, travel and processing payments into E-builder.  Responsibilities include day-to-day support needs of the AVP and other job-related duties as assigned. 

This position requires strong computer skills, flexibility, organization, attention to detail, excellent interpersonal skills, and an ability to navigate complex systems. You must be able to exercise considerable tact, integrity, and discretion, while making decisions based on the best practices and solid professional judgement.

Working hours are 7AM-4PM with a one-hour lunch break.
Work is in-person during the Fall and Spring semesters.

Must be available on nights and weekends when needed.

Required Education and Experience
Bachelor’s degree in business administration, or other related field, and a minimum of one (1) year of experience supporting a senior level manager. An equivalent combination of education and experience may be considered.

Required Skills and Abilities
*Knowledge of a university environment, and policies & procedures related to purchasing, accounts payable, travel, financial reporting, and personnel.
*Excellent organizational abilities and attention to detail.
*Demonstrated ability to work in a fast-paced and confidential environment.
*Excellent ability to multi-task.
*Proficient with Windows operating system and MS Office Suite. Strength in Outlook, Word, Excel and Power Point.
*Excellent written and verbal skills.
*High level of critical thinking skills.

Preferred
*Experience in a university environment or construction supporting field.
*Demonstrated experience in purchasing, accounts payable, travel, financial reporting, and personnel
