Executive Assistant to Cabinet Member

Position Details:

Location: Clearwater, FL (Hybrid) Status: Full Time (Exempt)Shift: 8:00 AM to 5:00 PM (may vary)Days: Monday – Friday This position supports BayCare's Chief Financial Officer 

The Executive Assistant to Cabinet Member, Chief Financial Officer (CFO):

Responsible for providing a broad variety of advanced administrative support to a Cabinet Member including collecting and preparing information for meetings, composing and preparing correspondence, maintaining contact lists, making travel arrangements and completing expense and mileage reports. Schedules meetings for executive with internal staff and external individuals/organizations. Prioritizes inquiries and requests while troubleshooting scheduling conflicts to ensure smooth day-to-day engagements for the executive. Arranges and handles logistics for meetings and events: schedules meetings, drafts agenda’s, develops, compiles and distributes presentation materials and may record meeting minutes. Prepares reports and/or gathers information. Serves as the primary point of contact for internal leadership on matters pertaining to the executive including those of highly confidential and critical nature. Prioritizes and may determine appropriate course of action, referral or response based upon executive’s guidance. Works on other projects as assigned. Strong organizational skills and attention to detail. High degree of professionalism in dealing with diverse groups of individuals from inside and outside the organization. Ability to complete a high volume of tasks and projects with little or no guidance. Ability to react to appropriate levels of urgency to situations that require a quick response or turnaround. Ability to maintain a high level of integrity and discretion in handling confidential information.

Minimum Qualifications:

Required Education: HS Graduate or Equivalent GED, Preferred associate's degree

Required Experience: 3+ years of Executive Assistant required
