BODYARMOR is looking for an Executive Assistant to the CEO to join our team.

BODYARMOR is looking for a full-time Executive Assistant to support the Chief Executive Officer & Chief of Staff, as well as supporting other Executive Team leaders as needed based out of Whitestone, NY. Key responsibilities will include clerical duties, calendar coordination, arranging travel itineraries and logistical support, communication with key stakeholders, and meeting management.  The EA must operate with a high level of professionalism, handling sensitive information with the utmost discretion.

RESPONSIBILITIES:

Responsible for supporting the CEO with varying administrative duties including, but not limited to scheduling, travel, lunch, correspondence, and meeting set-up and break-out to meet specific timelines.Heavy day to day calendar management with attention to detail and follow up both internally and externally as needed.Manage the coordination of all travel arrangements and logistics (hotel, rental car, restaurant reservations, and other travel-related needs) on behalf of the leader.Administrative and clerical responsibilities such as word processing, file management, presentation support, heavy emailing.Organize and set priorities among a variety of complex tasks, including a high volume of regularly occurring work for the Whitestone office.Preparation of necessary materials to ensure that Sr. Management has appropriate information for meetings, presentations, events, and special projectsPlanning and coordinating external and internal meetings, including room booking, catering, and hotel/dinner reservations, and occasionally capturing meeting minutesCommunicate effectively across all departments to notify of any Whitestone site changes and updates, ensuring alignment across offices as needed.Manage various expense reports through ConcurAssist with personal/family travel when it intersects with businessEnsuring office is tidy and conference rooms are cleaned and set-up prior to and after meetingsPartner with the Whitestone building to coordinate visitors, new hires, and work onsite ensuring appropriate BODYARMOR team members are notified and alignedCollaborate with onsite team members to support any impromptu and ad hoc administrative needs

REQUIREMENTS:

Bachelor’s Degree6+ year experience in Administrative Assistant experienceHybrid model in Whitestone, NY office is requiredProficient in Microsoft Word, Excel, PowerPoint, OutlookAbility to take initiative, work independently and in teams, and follow-through on assignmentsCollaborative worker with a can do attitude and excellent interpersonal skillsDetail-oriented and efficient; excellent organizational skills, and ability to multi-taskAbility to handle pressure and manage frequently changing prioritiesEnsure high level of accuracy in all details and manage prioritiesAbility to lift boxes and stock kitchen as neededPosition requires in-person attendance at bi-annual company retreats/meetings (locations may vary year to year)May require some travel by both car and plane

Pay Range:

$85,900 - $103,000

Base pay offered may vary depending on geography, job-related knowledge, skills, and experience. A full range of medical, financial, and/or other benefits, dependent on the position, is offered.

Annual Incentive Reference Value Percentage:

7.5
