We are seeking a highly skilled Executive Assistant to support the SVP Global Distribution Operations. This position provides a wide variety of administrative and organizational support & will also take a leadership role in global activities, including but not limited to internal communication.
In this role you will also be responsible for leading and coordinating all internal and external communications using a variety of communication methods. Facilitating communication, planning meetings and events, distributing information, creating agendas and schedules.
In addition, you will:
Performs a wide range of general administrative duties for the SVP, Global Distribution Operations and management team, including arranging, coordinating and taking the minutes of meetings and generating presentations. Manage an active calendar of meetings, setting priorities based on guidelines. Maintain, and if appropriate distribute, key files or documents such as, but not limited to, email distribution lists, organization charts or the Global Distribution Sites Overview. Develop and execute the Global Distribution Operations communication strategy with the global team through the use of various communication mediums ensuring consistency of message and style. Be proactive in looking for opportunities to further develop the Employee Communications offering through identification of new techniques, technologies and ideas that would enhance the communication and inclusion process. Book flights, accommodation, transport and organize Visa for the senior managers and visitors Arranging entertainment and team building events. Fully co-ordinate and oversee Global Distribution Operations Management off-site conferences, including coordinating the planning of meetings and events, distributing information, creating agendas and schedulesA full job description is available upon request.
About you:
We are looking for someone who has exceptional judgment, excellent communication skills and the ability to manage multiple priorities while handling confidential matters with discretion. Additionally, you should be open to occasional international travel, and willing to work outside regular office hours when needed (rarely). Experience in managing a company intranet and creating online content. Experience working with third-party agencies and negotiating contracts. Proficient in Microsoft Office Suite, Adobe Acrobat, and Desktop Publishing programs like InDesign, Illustrator, and Photoshop. Strong supplier and stakeholder management skills. Highly proactive, self-starter, thriving in a continuous improvement environment. Well-versed in social media and the broader online landscape. Creative thinker with implementation skills. Robust, flexible, adaptable, resilient, and tenacious. Strong team ethos, approachable, and good people skills.Education:
