As a highly organized coordinator of people and processes, the Executive Assistant ensures operational excellence and facilitates effective communication and alignment with key stakeholders, including Inmar’s Board of Directors.
Key qualities include; the ability to exercise good judgment in a variety of situations, strong written and verbal communication skills, good administrative skills, the ability to be proactive and resourceful, and the ability to maintain a realistic balance among multiple priorities.
This position is located onsite at the Inmar Intelligence Corporate Headquarters in Winston Salem, NC.
Primary Accountabilities:
Proactive Leadership (50%)
Consistently models the behaviors being modeled by the CEO
Consistently “expands the pie” in discussions - adding value and contributing in ways that make everyone better - more proactive, more thoughtful
Establish and document administrative systems and processes that prioritize Continuous Improvement
Contribute to the development of the annual executive department budget; assist with expense tracking; and approve requests on behalf of, and as authorized by, the CEO.
Proactive Administrative (30%)
Provide high-level administrative support and assistance to the CEO and Executive Leadership team with a focus on Promises Made, Promises Kept, ensuring deadlines and commitments are met.
Maintain and prioritize the daily schedule and workload for the CEO, demonstrating a proactive approach to managing resources and timelines.
Perform clerical and administrative tasks such as drafting correspondence, scheduling appointments, coordinating meetings, and arranging travel accommodations while embracing the Power of We through effective collaboration.
Manage expense reconciliation and reporting processes accurately and efficiently.
Proactive Influence (20%)
Build strong cross-functional relationships with Sales, Operations, Finance, and Accounting teams to facilitate Power of We in achieving shared objectives.
Promote a culture of Continuous Improvement by proactively identifying opportunities for process enhancements.
Ensure clear and effective communication across all levels of the organization, enabling team alignment and productivity.
Required Qualification:
Bachelor’s degree in business or a related field.
10+ years of experience as an Executive Assistant, or an equivalent combination of experience and training.
Exceptional verbal and written communication skills, with the ability to collaborate and foster relationships aligned with Power of We.
Outstanding organizational and time management skills, with a Growth Mindset toward meeting deadlines and solving challenges.
Proficiency in Google Workspace and a readiness to adopt new tools for Continuous Improvement.
