Job Title: Executive Assistant to the CEO
Job Description The Executive Assistant to the CEO provides comprehensive administrative support to the Chief Executive Officer. This role involves managing schedules, travel arrangements, and office operations. The Executive Assistant will ensure effective workflow and communication within the CEO's office and identify opportunities to improve processes. The position is based in Arlington, VA, and requires office presence five days a week.
Responsibilities
Anticipate and manage scheduling needs, resolve conflicts, and coordinate meetings and appointments.Plan and manage travel arrangements, ensuring efficient use of time and quick responses to changes.Oversee meeting logistics and maintain accurate records of interactions.Collaborate with other Executive Assistants to coordinate schedules, communications, and event planning.Handle all correspondence to the CEO, ensuring timely responses and drafting communications.Coordinate schedules and meetings with staff, advising on travel plans and gathering necessary information.Maintain accurate lists of stakeholders and distribute regular communications.Develop relationships and contacts to arrange high-level meetings.Provide administrative support for Board of Director committees, including scheduling and preparing materials.Plan and organize events, meetings, and programs, ensuring smooth logistics.Track and analyze travel and expense budgets, providing strategic insights.Support new projects and initiatives as assigned.Essential Skills
8 years of administrative support experience, with 3-4 years at the executive level.Experience with travel arrangements and calendar management (MS Office Outlook required).High School Diploma or GED required; Associate's degree preferred.Additional Skills & Qualifications
Experience with Concur for expenses is a plus.Familiarity with WorkDay is a plus.Strong administrative skills, including scheduling, office management, and documentation.Proficiency in Microsoft Outlook suite of products.Pay and Benefits
The pay range for this position is $120000.00 - $125000.00
