Provide administrative support for the Head Football Coach, including coordination of his daily activities and yearly calendar, arranging speaking engagements and travel, press conferences and interviews, etc., screen incoming communications, compose, proof, and distribute all correspondence. Coordinate and schedule all activities and special events for the football coaching staff. Maintain confidentiality and record performance evaluations of coaches and staff. Responsible for coordinating and maintaining all student-athlete information for the Head Football Coach as well as managing communication with assistant coaches, student-athletes, parents of current student-athletes and ICA staff. 30%
Create and maintain policies and procedures for office functions including charitable donations, visitors to practice, player database maintenance and access, compliance reports, program memberships, subscriptions and associations, new hires, annual participation and other awards, equipment, printing and copying. Manage the portions of the football budget related to awards, catering, supplies, equipment, and other areas in which this position has decision-making authority. Receive bids and order supplies. Research vendors and pricing for cost efficiency. Maintain inventories. 25%
Create and maintain weekly and yearly calendars and schedules for the team and the coaching staff. Manage and facilitate correspondence to team, player families, agents, Conference staff, all-star game nominations (in conjunction with pro liaison), reports from game officials and record-keeping. 10%
Facilitate and coordinate communication and messaging from football offices and staff. Design and implement policies and procedures for groups and others who interact with the Football Program. 10%
Assist the Football Program recruiting staff with recruiting functions as needed, (i.e., pre-game receptions, recruiting weekends, Senior Day etc.). Organize all aspects of all Special Events (on campus and at external locations) and Post Game Receptions involving the football program: budget, scheduling, invitations, guest lists, catering decisions, and programming. 10%
The Executive Assistant will oversee and coordinate the football-related onboarding (and exiting) of new employees in the program. Train student employees while having lead responsibilities for monitoring and providing performance evaluation input regarding their areas of responsibility. 10%
Assist camp director with promotions, mailings, correspondences, registrations, and planning. 5%
Compliance with the rules and regulations of the University, the NCAA, the Conference, the State of Washington, and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
**Minimum Requirements -**
Bachelor’s degree and 3-4 years of related experience. Computer experience with database and basic Microsoft Office programs required.
**Preferred Requirements -**
Demonstrated progressively responsible experience in a professional or collegiate athletics environment. Experience with athletic events, working with high profile individuals, and highly confidential and sensitive information. Knowledge and experience with NCAA rules, policies, and procedures. Organized, team-oriented, self-motivated, hard worker with excellent communication skills.
**Condition of Employment -**
This position requires travel, working evenings and weekends.
