Read more: careers.bms.com/working-with-us . **Summary:** We are seeking a highly organized and proactive Executive Associate to support at least three Senior-Level Executives within our organization. The ideal candidate will possess excellent skills in managing busy calendars, coordinating cross-functional teams, and ensuring smooth day-to-day operations. This role requires a detail-oriented individual with the ability to manage the complexity of multiple calendars and projects. **Key Responsibilities:** + Calendar Management: Efficiently manage and coordinate the complex and busy calendars of multiple VPs, including scheduling meetings, appointments, travel arrangements, and holistic calendar coordination. + Budget Management: Open and manage POs for the team and ensure compliance with financial regulations and policies, track spending. + Meeting Coordination: Organize and facilitate meetings, including preparing agendas, distributing materials, and ensuring all logistical details are handled. + Communication: Serve as a primary point of contact for internal and external stakeholders, ensuring clear and timely communication on behalf of the VPs. + Document Preparation: Prepare, edit, and distribute documents, reports, and presentations as needed. + Cross-functional coordination: Collaborate with cross-functional teams to ensure alignment and support for various projects and initiatives. + Travel Arrangements: Arrange and manage travel itineraries, accommodations, and logistics for the VPs. + Expense Management: Track and process expense reports, ensuring compliance with company policies and timely reimbursement. + Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism. + Administrative Support: Provide general administrative support, including managing correspondence and maintaining office supplies. **Key Qualifications and Experience:** + High school diploma required, associate or bachelor's degree preferred + Minimum of 5 to 10 years of experience as an administrative assistant, preferably supporting senior executives + Proactively managing and prioritizing multiple calendar conflicts, coordinating with key stakeholders, and influencing peers to ensure smooth scheduling. + Exceptional organizational and time management skills. + Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). + Excellent written and verbal communication skills. + Demonstrated ability to multitask and prioritize effectively in a fast-paced environment. + Strong attention to detail and problem-solving abilities. + Budget management and tracking + Proven ability to build and maintain positive relationships with internal and external stakeholders. + High level of professionalism, integrity, and discretion in handling confidential information. \#LI-Hybrid If you come across a role that intrigues you but doesn't perfectly line up with your resume, we encourage you to apply anyway.
