The Executive Associate, will play a pivotal role in supporting the CEO in managing their daily activities, ensuring smooth communication and coordination within the executive team, and handling confidential information with discretion and professionalism. This position requires exceptional business acumen to provide comprehensive support to the CEO. This position also requires the ability to interplay with business leaders, external partners, legal council as well as other leaders and departments within the organization.
Responsibilities & Duties:
Executive Support
Manage the flow of information coming in and out of the CEO’s office. Serve as the primary point of contact between the CEO and internal/external stakeholders, screening and prioritizing emails, phone calls, and other correspondence. Maintain and organize confidential files, documents, and records, including financial reports, strategic plans, and sensitive information. Handle sensitive information and always maintain the highest level of confidentiality and discretion. Uphold ethical standards and demonstrate integrity in handling confidential matters. Prepare agendas, documents, and presentations for executive/board meetings. Ensure meeting materials are distributed in advance and follow up on action items and decisions. Attend meetings as requested to document minutes and track action items. Track and reconcile the CEO’s expenses, prepare expense reports, and ensure compliance with company policies and procedures. Efficiently manage the CEO's schedule by coordinating meetings, appointments, and travel arrangements, ensuring optimal use of time and resources. Assist on an ongoing basis with personal arrangements to ensure maximum time efficiency of the CEO.Business Acumen/Business Development Support
Develop a deep understanding of the company's business model, industry dynamics, and strategic objectives. Support the development and implementation of business development strategies and initiatives. Synthesize information, track the status of various projects, deals, and outcomes. Assist with the execution of strategic initiatives and special projects, by conducting research, compiling data, and preparing reports and presentations. Provide insights to facilitate decision-making and project implementation. Assist in the preparation of business proposals, presentations, and pitches. Cultivate positive relationships with key stakeholders, including board members, executives, clients, and partners. Represent the CEO professionally and effectively in interactions with internal and external contacts. Interact with Board of Directors, key customers, government and business leaders and other company executives. Work closely with all department leads to support the business and strategic initiatives.Legal Liaison
Serve as a liaison between the executive team and the legal department, ensuring effective communication and collaboration. Coordinate with external legal counsel as necessary, facilitating the resolution of legal issues and ensuring compliance with regulations.Qualifications:
Degree in Business Administration, Management, Communications, Legal Studies, or a related field. Proven experience (5 years) working with an executive team or similar role supporting C-level executives. Strong business acumen Exceptional organizational and time management skills, with the ability to prioritize tasks and multitask effectively. Excellent interpersonal skills, with the ability to interact confidently with individuals at all levels. Excellent communication skills, both written and verbal in English and French. This position will interact with employees at all of our global locations. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Discretion and confidentiality in handling sensitive information and company matters. Resourcefulness and problem-solving skills, with a proactive approach to resolving issues. Ability to work independently with minimal supervision while also functioning as part of a collaborative team. Flexibility to adapt to changing priorities and work under pressure in a fast-paced environment. Professional demeanor, with a positive attitude and a commitment to excellence.Travel: Up to two (2) weeks per year to attend tradeshows, programs, training sessions.
