Executive Coordinator - Human Resources

The Executive Coordinator is responsible for providing support and managing business schedules for executive leadership. The Coordinator will serve as liaison between executive leadership and internal and external business partners and investors, while maintaining a high-level of confidentiality.

ESSENTIAL JOB FUNCTIONS

Provide support to the department’s executive leadership team. This includes scheduling meetings, generating correspondence, and handling calendar matters.

Ensure collaboration with executive leadership across multiple departments.

Responsible for planning and/or coordinating various department or committee meetings, including the compilation and distribution of meeting materials. Maintain accurate record keeping/minutes of such meetings.

Responsible for ongoing and effective project management and oversight for various department-wide special projects and initiatives.

Support and coordinate investor relations activities, including professional communication to external parties.

Work with leadership to document, monitor, and communicate progress toward goals as directed.

Successfully communicate with team members of all levels to execute and deliver on identified tasks or projects.

Act as a representative of department executives in responding to inquiries via phone, email, mail, or other forms of written and verbal communications.

Support monthly financial close process, including responsibility for specific detail oriented and time sensitive recurring tasks.

Provides general office and administrative support to all levels of department management.

Build relationships with internal and external business partners and investors, and supporting operational strategies.

Coordinates and supports business initiatives as directed. This may include assisting with identifying and helping to solve core problems or opportunities within business processes.

Screen calls and providing phone coverage for the department.

Assists department with special projects, covering tasks for absent team members, timekeeping, etc.

Compile and distribute department mail and monthly departmental calendars.

All other duties as assigned.

SKILLS/EDUCATION/KNOWLEDGE/EXPERIENCE/ABILITIES

Required:

High school diploma or equivalent (GED)

2-3 years’ experience providing executive level support

Exceptional written and verbal communication skills with the ability to effectively articulate information to all levels of the organization

High level of attention to detail with excellent organization and analytical skills

Ability to navigate through ambiguous and subjective situations while maintaining confidentiality

Proficiency with Microsoft Office Suite (Excel, Access, Word, and PowerPoint)

Desired:

Bachelor’s degree in a business-related field

Experience supporting large organizations and multiple levels of leadership
