What you do:
The Executive Projects Coordinator role reports to the Director, Chief of Staff, partnering closely to support the CEO and Executive Leadership Group. You will focus on project coordination, meeting planning, communications coordination and calendar and travel planning.
Project Coordination:
· Coordinate projects to support the Chief of Staff, CEO, and executive team
· Execute on project tasks and drive issue resolution to completion
· Develop and maintain project processes and documentation
· Help develop PowerPoint presentations and talking points in partnership with Strategic Communications
Meeting Planning:
· Prepare for upcoming meetings collaborating with meeting owners to gather materials and necessary documentation
· Serve as the primary point of contact for CEO external board positions, streamlining communication and logistics
· Assist with preparation for CEO speaking engagements (internal and external) in partnership with Strategic Communications where appropriate, Board communications and relationships within the BD and the business
· Coordinate main executive meetings, including ELG Monday AM and PM sessions, ELG offsite/overnight events, SLG ½ day meeting, weekly SLG meeting, and business reviews
· Determine the best course of action by being point of contact for inquiries and requests for executive leadership group meetings and prioritize agendas
· Coordinate Group Visitor Sessions including logistics and timing
Logistics Management and Travel Planning:
· Prepare and finalize travel itineraries, ensuring all details are accurate and communicated in a timely manner
· Plan, book, and manage travel arrangements, including flights, hotels, and transportation
Communication and Collaboration:
· Internal Allianz Life Communications point of contact to support delivery of employee communications
· Collaborate with and work with the executive team to ensure the Chief of Staff and CEO are well-prepared with materials for daily briefings, while looking ahead to the week and month.
· Participate in weekly team meetings to review upcoming meetings, events, travel, and project statuses
What you bring:
· 6+ years of experience required: At least 5 years of project coordination and global travel and meeting planning experience; strong communication, collaboration and organization skills. Demonstrate as sense of urgency and work proactively. Ability to work well under pressure, gain trust, and maintain confidentiality.
· Four-year degree required or equivalent work experience
